Responsabilités Principales

Le rôle comporte plusieurs responsabilités essentielles, dont :

  • Soutien à la Décision : Être un membre actif de l’équipe de direction, contribuant aux priorités et à la prise de décision.
  • Organisation d’Événements : Faciliter les réunions clés, les townhalls et les événements pour l’affilié.
  • Gestion de Projets : Piloter des projets locaux tels que les rénovations de bureaux ou des initiatives stratégiques.
  • Gestion de Flotte Automobile : Assurer la gestion efficace de la flotte de véhicules et promouvoir la transition vers des véhicules électriques.
  • Initiatives EHS : Valoriser les initiatives de l’entreprise en matière d’Environnement, Santé et Sécurité.
  • Coordination IT et Relations avec les Fournisseurs : Gérer les relations avec les fournisseurs tout en soutenant divers aspects administratifs pour le Directeur Général.

Profil Recherché

  • Formation : Diplôme en affaires, opérations ou gestion de projet (Licence ou Master).
  • Expérience : Être au début de sa carrière (1ère ou 2ème expérience professionnelle).

The operations lead implements and manages operational systems, processes, and policies to support goals of the Dutch affiliate.   • Coordination, execution, and implementation of ad-hoc Dutch projects (Office renovation, DLT projects, NL Roadmap etc..)

Contract management and market access support

  • Administration and further cascading of commercials contract, including the contract tracker tool.
  • Ambassador for Ariba contract management tool.
  • Manage knowledge databases for affiliate knowledge.

Car Fleet Management

  • Oversee the management and maintenance of the company’s car fleet, ensuring compliance with car policy and cost-effectiveness.
  • Coordinate vehicle allocation, usage in alignment with the car policy, optimizing efficiency and reducing operational costs where possible.
  • Manage relationship with the leasing companies.
  • Update, optimize and implement the NL car policy including car selection list in line with the Global.
  • Fleet4Future car policy and lead transition to Fleet4Future Dutch Car Fleet.

Generation Ipsen Ambassador, Environment, Health, and Safety

  • Define and implement local Dutch Generation Ipsen Roadmap.
  • Implementation of the Global Generation Ipsen initiatives.
  • Project lead for the Community.
  • Participating in the quarterly meetings and provides feedback to the responsible person in the head office.
  • Overview & monitoring the implementation of the EHS policy & management system related to facilities and car fleet.
  • Promoting EHS awareness & involvement within teams and the business.
  • Assists in ensuring safety inductions and adequate safety training takes place.
  • Ensuring Good Contractor Management systems are adhered to.
  • Overseeing accident reporting, corrective action & follow up.
  • EHS reporting in EHSphere.

Facility Management, IT & Telephone coordinator

  • Manage relationship with the landlord and property administrator (daily technical issues, fire escape
  • exercise, cleaning agency, security, tenants meetings, H&S …).
  • Manage the office installation, set-up, and equipment in the office.
  • In charge of the implementation and maintenance of the office charging stations.
  • Maintain Dutch asset overview.
  • Coordination of the local OSS IT engineer.
  • Follow-up and escalate IT-issues that are not solved by the IT helpdesk.
  • Purchase IT materials, manage mobile phone programs, update and negotiate mobile subscriptions.

Reporting and admin

  • Take an active role in controlling/keeping the DLT budget/invoicing.
  • Supporting with financial administrative follow up for specific projects and DLT spending.
  • Support General Manager on administrative tasks.

Ethics & Compliance

  • Ensure that all activities within his region / sector are undertaken in accordance with the National Regulations and local sales and operations guidelines, as well as any local Codes of Practice.
  • Adhere to the training requirement of the position.

Education / Certifications:

  • Marketing/Business studies at Master or Bachelor degree
  • Knowledge of local guidelines

Technical Competencies Required

  • Project management
  • Proven experience in operations management with expertise in the different responsibilities of the function
