  • Calendar & Schedule Management: Maintain and control the executive’s schedule (both business and personal tasks).
  • Task Coordination: Ensure task completion from top managers ( 5 individuals).
  • Reminders & Follow-ups: Manage reminders for a team of ~ 2 0 people.
  • Administrative Support: Handle task administration, reporting, and planning.
  • Data & Notes Management: Keep databases and manage notes.
  • Department Coordination: Collaborate across marketing, sales, production, and finance.
  • Research: Conduct market research (

, finding Chinese suppliers). * Hiring Assistance: Screen candidates and conduct initial interviews.

  • Collaboration with Designers: Find and manage graphic designers (Upwork).
  • Business Travel Assistance: Organize and support business trips.
  • Commercial Real Estate Research: Find properties on LoopNet.
  • CRM & Communication Tools: Work with Asana, Trello, Apple Notes, and Telegram groups.
  • Phone Support & Account Access Management.

Requirements:Educational Background:

  • Bachelor’s Degree in Business Administration, Management, or Marketing.

Experience:

  • Proven experience as an assistant or administrator ( 3- 6 years).
  • Experience in the automotive or detailing industry.
  • Experience with international business and managing cross-cultural teams.
  • Previous experience in a remote working environment.
  • Recruitment experience, including screening candidates and conducting initial interviews.
  • Experience with business travel planning and coordination.

Hard Skills:

  • Advanced proficiency in CRM and project management tools (

, Asana, Trello). * Basic design skills using tools like Canva or Adobe Photoshop.

  • Experience with e-commerce platforms (

, Shopify, Etsy or automated marketing tools for potential support in marketing tasks) * Familiarity with financial management tools (, QuickBooks, Excel). * Fluency in English (written and spoken); additional languages are a plus.Soft Skills:

  • Strong time management skills with proactive scheduling abilities.
